Job description
This is a full time office based role.
Role Background:
The reception team is at the heart of the Bank, naturally being the face of the business. This is an ideal role for someone who is approachable, dependable, and proactive. Someone with a flexible approach and a ‘can do’ attitude who enjoys teamwork and delivering strong customer service with a smile on their face.
Responsibilities:
- Switchboard Operations: Manage the switchboard and redirect calls efficiently.
- Room Bookings Management: Oversee Outlook Room Bookings, including troubleshooting and resolving scheduling conflicts.
- Meeting Room Maintenance: Check rooms after every meeting, clear and set them as required.
- Mail Handling: Open, sort, and deliver incoming post to allocated IN trays. Collect outgoing mail in the afternoon and ensure it is franked.
- Stationery Management: Handle requests for stationery and ensure supplies are maintained.
- Catering Coordination: Assist Amy with the organization and ordering of catering services.
- Email Distribution: Manage the distribution of the Hello Inbox emails.
- Reception Log: Maintain the Bluepoint daily log for the Ground Floor Reception.
- Staff and Client Requests: Serve as the gateway for all staff and client requests.
- Courier Services: Manage incoming and outgoing couriers.
- Kitchen Maintenance: Ensure the kitchen is well-maintained and stocked.
- Office Presentation: Coordinate with Facilities to ensure the office is presented pristinely.
- Customer Service: Always provide outstanding customer service.
Skills and Experience sought:
- Have previous experience in a corporate, front of house environment.
- Have the passion, drive and attention to detail to deliver the very highest levels of customer service.
- Have great interpersonal skills, an outgoing and vibrant personality.
- Demonstrate an excellent command of the English language, both in verbal and written communication.
- Understand professional etiquette and engage with the visitors appropriately.
- Can work well under pressure and act both proactively and intuitively.
- Ability to exercise discretion.
- Basic Switchboard skills.
- Microsoft Word for windows, Outlook, Basic Excel & PowerPoint.
